Compare Medical Software is a free quote-comparison service for U.S. medical practices. We help you compare quotes from pre-vetted medical software vendors side-by-side, without the back-and-forth sales gauntlet.

Scope of This Policy

This policy explains what information we collect when you visit comparemedicalsoftware.com, fill out our comparison form, send us a contact-form message, or interact with cookies on our site. It also explains how we use that information and who we share it with.

This policy does not cover the privacy practices of the vendor partners we connect you with. Once we share your information with a vendor partner you have consented to receive a quote from, that vendor’s own privacy policy governs how they handle your information. We encourage you to review each vendor’s policy before submitting any additional information to them.

This policy also does not cover third-party websites linked from our site. We are not responsible for the privacy practices of any site we do not control.

Information We Collect

We collect information in three ways: information you provide directly, information collected automatically when you use our site, and information we receive from third parties.

Information you provide:

  • Form submissions on our comparison form, including: your name, your role at the practice, the practice name, the practice’s size (number of providers), your specialty, your current software, and your contact information (email and phone number).
  • Information you submit through our contact form or any direct email you send us.
  • Any consent selections you make on our forms (for example, the box you check to authorize us and our vendor partners to contact you).

Information collected automatically:

  • Cookies and similar tracking technologies (see “Cookies and Tracking Technologies” below).
  • IP address.
  • Browser type and version.
  • Device type and operating system.
  • Pages you visit on our site and the order you visit them in.
  • Referring URL (the page or ad you came from).
  • Facebook click ID (fbclid), Facebook browser ID (_fbp), and Facebook click cookie (_fbc) when you arrive from a Facebook or Instagram ad.

Information from third parties:

  • Facebook (Meta Platforms) when you click one of our ads — we receive ad-attribution data so we can measure ad performance.
  • Google Analytics — aggregated information about how visitors use our site.
  • 360Connect Inc., the form processor that handles submissions from our comparison form on our behalf.

How We Use Your Information

We use the information we collect to:

  • Route your quote request to the 2 to 3 vendor partners you have consented to receive quotes from.
  • Respond to inquiries you send us through our contact form or by email.
  • Measure the performance of our advertising and improve our website and offers.
  • Build and analyze marketing audiences (for example, lookalike audiences on Facebook).
  • Detect, prevent, and respond to fraud or abuse of our service.
  • Comply with our legal obligations and respond to lawful requests from authorities.

We do not use your information to make medical decisions, and we do not collect or process patient health information through this website.

Who We Share Your Information With

We are upfront about this: the core of our service is connecting you with vendor partners, which means sharing your form submission with them.

Form processor and vendor matching. Form submissions are processed by 360Connect LLC, who routes your information to up to five marketing partners in their vetted vendor network whose products match the practice details you provide. The current list of partners is shown to you inside the form before you submit and is also available on 360Connect’s website. Each vendor uses your information per its own privacy policy. After we and 360Connect hand off your information, the vendor — not us — is responsible for how they contact you and what they do with your data.

Analytics and advertising processors. We share limited information with Google (Google Analytics 4) and Meta Platforms (Facebook Pixel) for advertising measurement, conversion tracking, and audience-building. These processors handle the data per their own privacy policies and our agreements with them.

Legal compliance. We may share information when we believe in good faith that disclosure is required by law, court order, subpoena, or to protect our rights, your safety, or the safety of others.

Business transfers. If we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you and update this policy if that happens.

We do not sell your personal information. We do share it with vendor partners as described above — that is a core part of the service you have signed up for, not a sale.

Cookies and Tracking Technologies

We and our processors use cookies and similar technologies to operate the site, measure performance, and improve our advertising. Specifically:

  • 360Connect form cookies — Used by our form processor to handle your submission and prevent duplicate or spam submissions.
  • Google Analytics 4 cookies — _ga, _gid, and _ga_* cookies used to measure traffic and understand how visitors use our site.

Communications Consent

By submitting our comparison form and checking the consent box, you authorize Compare Medical Software and the vendor partners you have selected to contact you by email, phone (including pre-recorded calls and autodialed calls), and SMS text messages, at the contact information you provided.

Your consent to be contacted is not a condition of any purchase. You are not required to give consent to receive marketing calls or texts in order to use our service or buy anything.

Message and data rates may apply for SMS. Message frequency varies. Reply HELP for help. Reply STOP at any time to opt out of SMS from us.

You can opt out of our communications at any time by:

  • Replying STOP to any SMS message we send.
  • Clicking the unsubscribe link in any marketing email we send.
  • Emailing us at info@comparemedicalsoftware.com and asking us to remove you from our marketing lists.

To opt out of communications from a vendor partner you have been matched with, you will need to contact that vendor directly. We do not control their communications and cannot remove you from their lists on your behalf.

California Residents (CCPA)

We retain form submissions for 24 months unless you request earlier deletion or longer retention is required by law. Marketing analytics data and advertising data are retained per the standard retention periods of the service providers we use (for example, Google Analytics 4 retains user-level event data for 14 months by default).

When information is no longer needed, we delete it or de-identify it.

Security

We use industry-standard safeguards to protect your information, including:

  • TLS encryption on our website and on form submissions.
  • Secure servers and access controls limiting who on our team can see your information.
  • Reputable third-party processors (Google, Meta, 360Connect) for data we hand off to them.

Your Rights and How to Exercise Them
