How Compare Medical Software Works

It takes about 60 seconds. You answer a few questions about your practice, we route your details to 2–3 pre-vetted vendors who actually serve practices like yours, and within 1–3 business days you get real quotes back side-by-side. You owe nothing — vendors pay us a referral fee only if you decide to engage with one.

Step 1: Tell us about your practice

About 60 seconds. Five short sections.

  • Practice size — providers and locations. The single biggest factor in vendor fit. A 2-provider family practice and a 22-provider orthopedic group need very different systems.
  • Specialty — what you actually do. Behavioral health, dermatology, orthopedics, ophthalmology, OB/GYN, primary care, multi-specialty. Drives whether you need workflow templates and integrations a generic EHR won’t handle.
  • Current software — what you have now and roughly when you got it. We use this to understand what you’re trying to get out from under.
  • What’s broken — short checkboxes. After-hours charting. Billing denials piling up. Sluggish support. Hidden fees on renewal. Workflow that doesn’t fit how you actually practice.
  • Contact info — name, role, practice name, work email, phone. So vendors can send you their quote.

What we never ask for

Step 2: We send your details to 2–3 pre-vetted vendors

You don’t get blasted to a directory of fifty companies. We pick 2–3 based on what you told us in Step 1.

How we vet a vendor before we route to them

Every vendor in our network has to clear three bars:

  1. Live U.S. operations — real company, real implementations, real customers we can verify.
  2. Competitive in your size band — they actually serve practices your size. We don’t send a 3-provider clinic to an enterprise-only system, and we don’t send a 25-provider group to a solo-practitioner tool.
  3. They will respond within 24 business hours — this is a written commitment. If they don’t, they get pulled from rotation.

What vendors receive

Only what’s needed to build a real quote: your size, specialty, current setup, what you’re trying to solve, and how to reach you. They don’t get pixel data, browser fingerprints, third-party tracking IDs, or your form-fill behavior. The form processor is 360Connect.

Step 3: You compare side-by-side

Within 1–3 business days, you’ll have 2–3 quotes in your inbox — each one structured the same way so you can actually line them up.

Each quote includes (placeholder list — finalize once vendor format is locked):

  • Subscription cost per provider per month
  • Implementation cost range
  • Training and data migration estimates
  • Contract length and renewal terms
  • Top integrations (your billing clearinghouse, lab interfaces, payer portals)
  • Top features they want you to know about

That’s it. No 45-minute discovery call before they’ll tell you a price. No “schedule a demo to learn more.” Real quotes, in writing, side-by-side — no sales pitch.

You decide what to do with them. Take them to your partner. Sit on them for a quarter. Use one as leverage to renegotiate with your current vendor. Pick one. Pick none. We don’t push.

What happens after the quotes arrive

Honest expectations, because no one tells you this part:

  • Vendors will reach out — within the consent you gave (email, and SMS/phone if you opted in). They want to earn your business. That’s the deal.
  • You can opt out at any time. Reply STOP to texts, unsubscribe from emails, ask the vendor rep to take you off the list. They have to comply.
  • There is no obligation to choose anyone. The quotes are yours. If all three look bad, walk away.
  • If none of the quotes fit, tell us. We’ll re-route to a different set, or refund the recommendation entirely.

Will my current vendor find out?

No. Your participation is private to you and the vendors you choose to compare. We don’t notify your current vendor or share your name outside the matched 2–3.

Can I just get information without committing?

Yes. Comparing quotes is not a contract. You can walk away, share them with a partner, sit on them for a quarter, or use them as leverage in your current contract negotiation. That’s the whole point — clarity without a trap.

What if I’m a small practice?

Most of our vendor partners specifically serve 1–25 provider practices. Larger systems get matched to enterprise-tier vendors who handle that scale. Either way, you’ll get quotes from companies that already work with practices like yours.
